Categories of Personal Information we Process
By applying to join the Access to Justice Network email list, attending its working group meetings, or attending its conference, Stanford University collects the following data about you:
- Name
- Organizational Affiliation
- Job Title
- Your Job Role and Legal Background
- Work Address
- LinkedIn Profile URL
- Information you choose to share on the email list, meetings, or conferences.
- Working Group meeting recording
- Automatically collected personal information through your browser, cookies or similar technologies when you access our site,
Use of Personal Information
We may use this information to:
- Process your application to join the Access to Justice Network;
- Detect, investigate, and prevent activities that may violate our policies, pose safety issues, or be fraudulent or illegal;
- Improve our site, services and user experience;
- Provide personalized services (with your consent when required);
- Compile and share de-identified aggregated data.
Data Storage and Retention
The security, integrity, and confidentiality of your information are extremely important to us. Our minimum security standards can be found at: https://uit.stanford.edu/guide/securitystandards.
Personal information will be stored securely on services controlled and managed by the university. Data access is limited only to those who need to know for their roles within the Access to Justice Network. This might include sharing personal information with other members of the Access to Justice Network who volunteer in roles like Working Group leadership.
Personal information collected for the Access to Justice Network will be retained according to the following schedule:
- Active Membership: Personal data will be retained for the duration of an individual’s active membership in the Access to Justice Network.
- Inactive Membership: Upon an individual becoming inactive (e.g., leaving the network), their personal data will be retained for an additional 12 months to facilitate potential re-engagement or communication.
- Final Deletion: After the 12-month retention period, all personal data associated with inactive members will be permanently deleted from all our platforms.
This retention schedule ensures that personal information is only kept for as long as it is necessary to fulfill the purposes for which it was collected, while also allowing for a reasonable period to manage any follow-up communications.
Sharing your Personal Information
Personal information may be shared with Access to Justice Network community members who serve in leadership roles, like in leading working groups or conference sessions.
We engage the following third parties to process your Personal Information on our behalf for the purpose stated above.
- Google LLC: We use Google Drive, Google Groups, and other Google Workspace services provided by Google LLC to store and manage your personal information.
- Airtable, Inc.: We use Airtable to organize and manage personal information within our network.
- Zoom Video Communications, Inc.: We use Zoom to host meetings, webinars, and other virtual events. During these events, personal information such as names, email addresses, and potentially video or audio recordings may be processed.
- Dropbox, Inc.: We use Dropbox to store and manage files, including recordings of meetings that may contain personal information. Dropbox processes this information securely, providing encryption and controlled access to ensure that your data is protected.
These third-party services are integral to our operations and are required to adhere to strict data protection standards, including encryption and controlled access, to safeguard your personal information.
Stanford does not sell any Personal Information to third parties for their use in direct marketing, advertising, or promotion of their products or services.
Our service providers are required to comply with applicable data protection laws and Stanford’s data protection standards under the terms of agreement with Stanford University.
Individual Privacy Rights

If you don’t agree to the changes, then you can always stop using our services, delete your account and stop giving us any more personal information. Where we are required by the applicable privacy laws, we will also seek your consent to any material changes that affect how we use your personal information.
